Reports
Did you know that you can generate detailed reports directly from the Gantt chart view based on visible tasks and filters?
Starting from version 8.0, the Gantt chart allows you to create customized reports using predefined filters, columns, and grouping options. This helps you quickly analyze project progress, resource allocation, or workload within specific timeframes.
To create a report, go to your Gantt chart and click Export → Reports at the top right corner
.
The report title is automatically generated as:
Gantt Chart Name + Scenario Name or Gantt Chart Name + Live (if no scenario is selected)
Fields & Columns
Reports automatically use the same columns (fields) that are currently selected in your Gantt chart. This includes
Jira fields (like Assignee, Status, Epic Link, etc.)
Gantt-specific fields (such as Start, End, Duration, etc.)
You can customize the report view by:
Adding or removing columns
Reordering them to suit your analysis needs
Changes made here only affect the report layout — your Gantt chart view remains unchanged.
The “Task #” column is a report-specific field automatically available in the report view.
It displays the total number of tasks included in the entire report or within each group (if grouping is enabled)
If you want to quickly generate a report with consistent structure and content, create and save a Gantt view with predefined columns and filters.
Note: Views affect only the displayed columns and filtered data. They do not store grouping, sorting, or report-specific settings.
Selecting a Date Range
When generating a report, you can define the date range that determines which tasks are included based on their start and end dates.
You have two types of options:
Predefined Ranges:
Quickly choose from common timeframes:
Today
Yesterday
This Week / Previous Week
This Month / Previous Month
This Quarter / Previous Quarter
This Year / Previous Year
Gantt-Based Ranges:
These options dynamically reflect your current Gantt setup:
Chart Date Range – based on the Chart Start and End Date defined in your Gantt configuration.
Visible Task Range – includes only the tasks currently visible based on their start/end dates and applied filters.
Use Chart Date Range to reflect your planning window, or Visible Task Range to focus on exactly what’s shown in your filtered chart view.
Custom Range
Use the built-in calendar picker to manually select any custom start and end date for your report.
Grouping and Sorting Report Data
Organize your report for better readability and analysis by using grouping and sorting options.
Grouping Options
You can group report data by a variety of fields, including:
Gantt fields
Jira fields (as long as they are present in the Gantt chart)
Special Report fields such as: Year, Quarter, Month, Week, and Day
Note: Week-based grouping and predefined weekly ranges follow the ISO 8601 standard, where the week starts on Monday and the first week of the year is the one that contains the first Thursday
You can also:
Reorder group levels to change the nesting structure
Sort each group by any relevant field
Sorting Options
You can sort tasks in your report by:
Gantt fields
Jira fields (present in the chart), even if they are not added as columns
Additionally:
Multiple fields can be selected for sorting
Sorting order can be easily rearranged
Fields used for grouping don’t need to be added as visible columns in the report — you can group and sort by them regardless.
Combine grouping and sorting to build a hierarchical, prioritized view
Task Scope & Time Calculations
Reports include only the tasks currently visible in the Gantt chart.
Additionally, you can further refine the report by selecting a Start and End date for the report itself. The report will then include tasks that fall fully or partially within this selected date range:
A task is added to the report if any part of it overlaps with the chosen period.
Time values (Work, Duration) are adjusted to reflect only the portion of the task that occurs within:
the selected date range, or
the relevant time group (e.g. Day, Week, Month) if grouping is applied.
Remaining and Spent time values are also calculated based on the selected report period, and are distributed according to the Workload distribution setting.
Group duration is calculated from the earliest start to the latest end date of the tasks it contains
The Start and End Date columns will always show the actual task dates — not trimmed by the selected report period, so you retain full visibility into when the task begins and ends, even if only part of it is reported.
Report View Options
You can expand or collapse individual groups by clicking the arrow next to each group header. This helps you focus on specific sections of your report.
To save time, use the Collapse/Expand All button to open or close all groups in the report simultaneously.
If you prefer a simplified overview, enable the “Hide details” option to hide tasks, making the report easier to scan.
Additionally, you can open the report in full-screen mode for a larger, more immersive view, making it easier to analyze detailed information without distractions.
Export
You can export the generated report to Excel with a single click.
The exported file will preserve the same grouping and sorting as displayed in the report, ensuring consistency between what you see on screen and in your Excel document.
Up to 1,000 records will be displayed in the report preview once the report is generated. The full report data will be available in the Excel export.
