Gantt Chart Calendars

By default, a newly created Gantt chart uses the main chart calendar defined by an admin, as described here: Company-wide configuration.

If needed, the main chart calendar can be edited in the chart configuration under the Calendars tab.

In addition to the main chart calendar, a chart manager can add resource calendars by clicking the Add chart calendar button.

  • If the selected resource [1] has a configured personal calendar “My Calendar“, it will be used as the base calendar [2].

  • If needed, the chart manager can change inherited working days or hours, or add new overrides.

Inherited overrides are shown in blue and cannot be edited.

To save a resource calendar:

  1. Click OK in the Resource Calendar dialog.

  2. Then click Save in the Calendars tab of the chart configuration.

  • If working days or working hours are left unchecked in a Gantt chart’s resource calendar, they reflect the most recent changes made by the user in their personal calendar.

  • Overrides defined in a user’s personal calendar are always reflected in the Gantt chart’s resource calendar, regardless of whether the override checkbox is checked in the resource calendar.

  • If overrides are added in the Gantt chart’s resource calendar (for working or non-working days), they are preserved in addition to any overrides made by the user in their personal calendar.

 

Setting a Resource’s Non-Working Day as a Working Day in the Chart Calendar

If a day is marked as a non-working day in a resource’s personal calendar but needs to be treated as a working day in the chart calendar, the chart manager can create a working day override for that date.

Example:

  • A resource marks September 8, 2025 as a non-working day in their personal calendar.

  • When creating a new chart calendar for this resource, the chart manager can add an override for September 8, 2025 to set it as a working day in the chart.

Result:
Any tasks assigned to the resource on September 8, 2025, will now have their work effort counted for that day because the chart calendar override designates it as a working day

 

A chart manager cannot:

  • Edit a private resource calendar used as the base for the chart’s resource calendar.

  • Create two chart calendars for the same resource.

  • Create a chart calendar without selecting a resource.

 

Chart Task Work Scheduling with or without Resource Calendars

  • If a task in the chart is assigned to a resource that has a defined resource calendar in the chart configuration, the task work is scheduled according to that resource calendar’s working days, hours, and overrides.

  • If a task is unassigned or assigned to a resource without a defined resource calendar, the task work is scheduled based on the main chart calendar (working days, hours, and overrides).

In the chart configuration, under the Calendars tab, a chart manager can also manage global calendars in addition to configuring resource calendars.
