Workload Calculations and Capacity Planning

One Calendar provides several tools that help teams understand workload distribution, measure effort, and plan work more effectively.

Event Hours and User Hours

Available only for user-based resources

This feature is available only when the calendar resource is based on a user-specific resource field, such as Assignee or another user picker field. It is not available for calendars based on non-user resources.

Some events involve multiple users. To help you understand time distribution:

  • Event hours = actual duration of the event

  • User hours = event duration multiplied by number of participants

Example: A 1-hour meeting with 3 users
→ Event hours: 1h
→ User hours: 3h

Working Days Mode

Working Days Mode helps ensure that workload calculations reflect actual working time.

When enabled:

  • Non-working days are excluded from calculations

  • Non-working days are visually highlighted

  • Capacity calculations better reflect real team availability

This is particularly useful when planning work across weekends, holidays, or custom work schedules.
