Time allocation mode

Introduced in the app v. 8.0, the time allocation mode facilitates resource planning by highlighting the days and resources that fall outside the time range specified by the user.

Feel free to watch our time allocation introduction video tutorial accessible anytime via the image-20240723-122243.png icon on the time allocation panel.

Please note that it is recommended to have defined users in the calendar when using the time allocation mode. Otherwise, you will have no users to plan for when there are no events in the selected time period.

To go to the time allocation mode when either calendar selector or quick filters menu are open, click the button at the right end of the top panel and then select Time allocation in the opened dropdown:

The open time allocation panel indicates that you have entered the time allocation mode.

The time allocation panel allows to set a range which serves as the essential criterium for time allocation. The range determines how many work hours the users in the calendar are expected to complete per day, week or month.

Depending on the time period the calendar is currently in, a user is able to select between daily, weekly or monthly ranges.

Monthly range is available in monthly and quarterly calendar views only.

Weekly range can be selected when the calendar is in weekly, monthly or quarterly view.

Daily range can be set regardless of the calendar view.

Once a range is set, the days, weeks or months (depending on the selected range) that do not satisfy the range criteria are going to have a red background. The total user hours per range are shown in the time allocation popover by hovering over the time allocation icon at the top left-hand corner of each day cell.

User hours that fall within the range are marked in green in the time allocation popover, while the hours that are outside the range are indicated in red.

You can click on any user inside the popover to open the Create Event dialog where the selected user will be added automatically. This logic applies when creating a new Jira issue or a new custom event.

To perform time allocation for specific users in your calendar, you can enable/disable the users on the left panel.

Event sources in the calendar can be disabled in the same manner, affecting the time allocation estimates.

Time allocation is available in timeline view where events can be re-assigned in a single move simply by dragging them between users. What’s more, timeline view allows to perform time allocation per user having all users enabled on the left panel.
